Excel or ERP: 7 signs it’s time to switch tools

Excel has built thousands of Moroccan businesses. But beyond a certain point, what was an asset becomes a brake. Here are seven unmistakable signs — and what an ERP concretely changes.

1. Several versions of the same file are circulating

“Stock_final_v3_OK.xlsx”, “Stock_final_v3_OK_Karim.xlsx”… When everyone works on their own copy, nobody knows which one is right. An ERP relies on a single database: each piece of information exists only once, up to date for everyone.

2. You re-enter the same information

The quote is typed in Word, copied into Excel for tracking, then again for the invoice. Every re-entry costs time and creates errors. In an ERP, the quote becomes an order, then a delivery note, then an invoice, in one click.

3. You discover unpaid invoices too late

Without an automatic payment schedule, reminders depend on someone’s memory. An ERP permanently lists overdue invoices and the amount still owed by each customer, including partial payments.

4. Your theoretical stock never matches your actual stock

Goods in and out are noted “later”, returns forgotten, breakages not recorded. The result: surprise stock-outs and invisible losses. An ERP tracks every movement and alerts you below the reorder threshold.

5. You don’t know your real margins

Per customer, per product, per site: do you know what you really earn? With purchase prices, discounts and costs allocated automatically, the ERP calculates your margins without any pivot table.

6. Customer enquiries get lost

A WhatsApp message read then forgotten, a call taken between two meetings: every enquiry not followed up is a lost potential customer. A CRM module centralises leads and reminds you of follow-ups.

7. Everything depends on one person

If the person who “knows the file” is away, the business slows down. An ERP documents processes in the tool itself and gives everyone the right access, no more, no less.

What now?

If you recognised yourself in three or more of these signs, it’s time to seriously consider moving to an ERP. The good news: with an open-source solution like Dolibarr, deployed and adapted to your business, the project is far more accessible than you might think.
